Consultancy Summary 

Through this Request for Proposal we are hoping to find asoftware solution that could improve the efficiency of our contract management and meet the requirements listed below.

About the Rainforest Alliance 

Rainforest Alliance, a New York-based 501(c)3, and UTZ, an Amsterdam-based foundation, merged in 2018. Together, the new Rainforest Alliance is now a $70 million per year organization with offices in 17 countries (and growing) and over 5000 staff. The merged organization has two main offices—one in Amsterdam and one in New York City.  

The Rainforest Alliance is creating a more sustainable world by using social and market forces to protect nature and improve the lives of farmers and forest communities. 

We work towards making responsible business the new normal through our certification program, tailored supply chain services, landscape and community work and advocacy. 

Overview  

Our organization has grown significantly over the past 5 years. As a result, we have almost doubled in Agreements value. In the next years, we are only expecting more growth as the organization is expanding and scaling up. An (AI) Agreement Generator could offer a solution to reduce the time spend on reviewing complex Agreements and automate repetitive time consuming tasks to have a more efficient and effective workflow and save valuable time.  

Main Objectives 

-reduce time consuming administrative tasks; 

-speed up contract management; 

-streamline the approval flow;

Contractor Services at a minimum, must include: 

• The tool is available in multiple languages;

• Easy plug and play CRM (Salesforce) integration;  

• Can flag all the obligations in an Agreement for reviewers; 

• Can highlight risk area’s for RA in the Agreement; 

• Can summarize the Terms & Conditions for reviewers; 

• Gives us control over the whole Agreement Lifecycle (from draft to e-signature);  

• Has an option to collaborate with 3rd parties in contract drafts;

General terms and conditions for Request for proposal 

• Proposals and/or any additional information received after the submission time and date are subject to rejection by The Rainforest Alliance. Incomplete proposals may be rejected by RA at its discretion.  

• The Rainforest Alliance reserves the right to request additional information at any time during the procurement process. 

• RA is at liberty to make multiple or no selections as part of the proposal process. RA also reserves the right to cancel the procurement.  

• All proposal costs shall be borne by the applicant and will not be reimbursed by RA. 

Selection Criteria 

• Pricing; 

• RA languages available (English, French, Spanish, Indonesian, Chinese, Vietnamese);  

• Easy integration with CRM's (integration with Word, E-signatures Software, Outlook, SharePoint are considered a plus);  

• Can flag all the obligations in an Agreement for reviewers; 

• Can highlight risk area’s for RA in the Agreement; 

• Can summarize the Terms & Conditions for reviewers; 

• Gives us control over the whole Agreement Lifecycle (from draft to e-signature);  

• Possibility to collaborate with 3rd parties. 

Proposal Process and Format

• An overview of the tool’s solutions that are available; 

• The pricing plans of the tool; 

• Integration with relevant systems; 

• An estimation of the return on investment; 

• Data protection policy
