Overview
Join Us in Enhancing User Experience Through High-Quality Manuals
As the Rainforest Alliance rapidly advances in system development, we are seeking hands-on support to create and ensure the quality of our new user manuals. These manuals play a critical role in helping our external stakeholders onboard smoothly and navigate our platforms with confidence.
We are looking for a proactive and detail-oriented individual to support us in the following areas:
Content Development: Assist in creating user-centric manuals by providing guidance and training to ensure clarity, accessibility, and relevance.
Quality Assurance: Review and refine content to meet the high standards expected of technical user manuals.
Graphic Enhancement: Design and enhance visual elements to improve usability and align with our communications guidelines.
Availability: 4 days per week, from now until mid-August (approximately 1.5 to 2 months).
Consultancy Scope of Work
Main Objectives
- Support, content review and quality assurance of user centric manuals for farms, supply chain actors and certification bodies
- Delivery of quality manuals by mid-August
- Training and guidance for internal content creators of manuals in the process to build up capacity internally
Activities
1. Understand and analysis of current state of manuals
2. Creation of improvement plan for meeting quality expectations (gap analysis)
3. Updating manuals and support of internal content creators of manuals
4. Delivery of above mentioned (3) manuals approximately by mid-August
Deliverables
Week 1: Review and improvement: Section Intro and general structure
Week 2: Review and improvement: Sections 1-3 Delivery
Week 3: Review and improvement: Sections 4-7 Delivery
Week 4: Review and improvement: Sections 8- 11 Delivery
Week 5: Complete Quality Review
Week 6: Training session to upskill team on creation of User Manual
Week 7: Delivery of quality Manual: Completion of task User centricity & Info graphics
General Terms and Conditions for Request for Proposal
· Applicants must provide all requisite information under this RFP and clearly and concisely respond to all points set out in this RFP. Any proposal, which does not fully and comprehensively address this RFP, may be rejected.
· Proposals and/or any additional information received after the submission time and date are subject to rejection by RA.
· Incomplete proposals may be rejected by RA at its discretion.
· RA reserves the right to request additional information at any time during the procurement process.
· RA is at liberty to make multiple or no selections as part of the proposal process. RA also reserves the right to cancel the procurement.
· All proposal costs shall be borne by the applicant and will not be reimbursed by RA.
· It is the responsibility of every bidder to identify any information of a confidential or proprietary nature contained in its proposal so that it may be handled accordingly. However, RA cannot guarantee confidentiality.
Selection Criteria and qualifications
The consultant or consultant firm should comply with the following minimum qualifications:
· Experience with creation of technical manuals for different stakeholder groups (farms, supply chain and certification bodies)
· Expertise in instructional design
· Experience in graphical visuals for user complex user manuals
· Understanding of Rainforest Alliance Standards and it’s implications for our technical systems
Selection of the consultant or consultant firm is based on the following criteria:

Proposal Process and Format
Interested consultants or consultant firms should submit their proposal including the following:
Statutory Requirements: Upon request, the consultant should supply all required legal documents as may be required by RA and/or local law, e.g. work permit, bank details, registration details, tax documents etc. When opportunity is restricted to a specific location, only candidates authorized to work in the location will be considered.
Technical proposal requirements:
o Project team profile (if a Consultant Firm)
o Work plan/technical proposal/methodology/timeline for deliverables
o List of previous engagements that addresses the above experience desired
o Current C.V.(s)
o Contact details of recent references (including full name, email and phone number)
Financial proposal requirements:
o Fixed price: please include budget to complete above mentioned deliverables
o Basis for costing: please include previous rates
o Currency: EUR
All proposals must be submitted to sjenzen@ra.org with the subject “Technical Manual Production Specialist”.
Finalists will be notified of their selection by 11th July.
